The stock problems packaging distributors face
Packaging distributors in South Africa supply boxes, tape, stretch film, bubble wrap, mailers, bottles, jars, food containers and labels to manufacturers, food producers, e-commerce sellers, retailers and the hospitality trade. The products look simple, but the inventory behind them is not.
- Many near-identical SKUs. One carton style can come in a dozen sizes and wall strengths, and one container in several lid and colour combinations. A small picking mistake means the customer's product does not fit.
- Bulky, low-value stock. Cartons and film take up a lot of floor space relative to their value, so overstock costs you room as much as cash.
- Multiple pack levels. The same item is bought by the pallet, stored by the carton and sometimes sold by the sleeve or single unit.
- Repeat customers who expect continuity. A food producer or online seller cannot pack without your stock, so a stockout on their usual item causes problems on their line.
- Imported and long-lead items. Some lines come from overseas or from local converters with long lead times, so reordering late is costly.
- Customer-specific stock. Printed boxes, branded tape and custom labels belong to one customer and cannot be sold to anyone else.
- Price movements. Paper and resin costs change, so quotes go out of date quickly and margins need watching.
When this is run from spreadsheets, the usual symptoms are surprise stockouts on fast movers, and slow lines that quietly fill the warehouse. Our guide on how to reduce stockouts covers the basics of setting reorder levels.
How VasKem maps to a packaging operation
| Packaging challenge | VasKem module | How it helps |
|---|---|---|
| Near-identical sizes | Product records and barcode lookup | Record SKU, name, barcode, category, unit of measure and dimensions per product, and scan barcodes to confirm the exact item before it leaves. |
| Bulky stock and floor space | Bin locations and stock reports | Record where each pallet or carton stack sits, and use stock reports to see which lines hold the most space and value. |
| Picking the wrong size | Dispatch orders and picking lists | Each dispatch order links to a customer and warehouse and produces a picking list, so pickers work from a list rather than memory. |
| Running out of key lines | Reorder points and low-stock alerts | Set a reorder point and reorder quantity per product, with longer buffers on long-lead items. |
| Supplier and import orders | Purchase orders and goods receipt | Raise purchase orders with an expected date and receive stock against them; balances update when receipt is submitted. |
| Quotes that go stale | Quotations and invoices | Track quotes from Draft to Sent, Accepted, Rejected or Cancelled, convert accepted quotes to invoices and record payments. |
| Knowing your regular customers | CRM | Keep customer and supplier contacts, notes, activity and scheduled follow-ups in one place, with quotations linked to each customer. |
| Damage and miscounts | Stock takes, adjustments and audit log | Count by bin, review automatically calculated variances, require admin approval and see who changed what. |
If you run more than one site, for example a main warehouse and a trade counter, each can be a separate warehouse with stock transfers between them. Counter sales can be recorded through the POS module. Bring your catalogue across with a CSV import; duplicate SKUs are skipped.
Ask VasKem, the built-in read-only AI assistant, can answer questions such as which long-lead products are below their reorder point, with links back to the records it used. It cannot change records, and answers should be checked against the source.

Specialist needs VasKem does not cover
Be clear about these before you choose any system:
- Pack-level conversion. Automatic conversion between pallet, carton, sleeve and unit is not claimed.
- Batch and lot traceability. VasKem does not track lots, batches or serial numbers.
- Reserved or consignment stock. There is no dedicated feature for holding stock on behalf of a customer or on consignment.
- Manufacturing and conversion. If you print, cut or convert packaging in-house, bills of materials and production orders are outside VasKem's scope.
- Forecasting. Reorder points are set by you; VasKem does not forecast demand automatically.
- Integrations and EDI. Store, accounting and courier connections can be scoped but are not automatic, and EDI is not offered.
Demo checklist for packaging distributors
- Import your trickiest range. Bring a CSV of one carton or container range in all its sizes and check that names, dimensions and barcodes stay distinct.
- Scan to confirm. Scan two similar items and confirm each lands on the correct product and bin.
- Set reorder rules. Set reorder points for a fast mover and a long-lead import line, then trigger a low-stock alert.
- Quote and convert. Create a quotation for a regular customer, accept it, convert it to an invoice and record a payment.
- Pick an order. Create a dispatch order and work from its picking list.
- Break a carton. Show how you would record selling sleeves from a full carton and agree the process with your team.
- Park custom stock. Set up a bin for one customer's printed stock and check it is easy to see and not oversold.
- Count and approve. Run a stock take on one bay and walk through variance approval.

Frequently asked questions
Can VasKem handle products sold by the each, sleeve and carton?
Each product has a unit of measure, but VasKem does not claim automatic conversion between pack levels. A common approach is to set up each pack level that you sell as its own SKU and record the movement when a carton is broken. Test this with your own items during the demo.
Can I hold printed or custom stock for a specific customer?
VasKem has no dedicated customer-owned or reserved-stock feature. Some distributors keep a customer's printed stock in its own bin or warehouse location, and use SKU names that identify the customer. Check during the demo whether that is clear enough for your team.
Does VasKem track batches or production runs?
No. VasKem does not offer lot, batch or serial tracking. If your customers, for example food or pharmaceutical packers, require batch traceability for packaging materials, you would need a separate process or a scoped custom project.
Can VasKem plan repeat orders for my regular customers?
There is no automatic repeat-order or forecasting feature. You can see each customer's history of quotations and invoices in the CRM, and set reorder points on your own stock so you can supply regular orders without running short.
Can VasKem connect to my e-commerce store or accounting system?
Integrations are not included by default. A connection to an online store, accounting package or courier can be scoped depending on the APIs available, and is quoted per project.
