Chemical distribution inventory software for South African distributors

Chemical distributors need accurate stock records, clear storage locations and tight control over who changes what. VasKem covers the core inventory and sales records; it is not a chemical compliance system, and this page is clear about the difference.

Inventory challenges in chemical distribution

Chemical distributors in South Africa supply industrial, mining, agricultural, cleaning, water treatment and manufacturing customers with products ranging from bagged powders to drums, intermediate bulk containers (IBCs) and bulk deliveries. Alongside the usual distribution pressures, the products themselves bring extra responsibilities.

  • Regulated products. Many chemicals are subject to rules on labelling, safety data sheets, storage, handling and transport. These obligations sit with the business and its people, not with an inventory system.
  • Storage separation. Some products must be kept apart from others, in dedicated stores, bunded areas or cages. Knowing exactly where each product sits is basic to safe operation.
  • Shelf life. Some products degrade or expire, and old stock can become a disposal cost rather than a sale.
  • Multiple pack sizes. The same product may be held in bags, drums, IBCs and bulk, and some distributors repack or decant into smaller containers.
  • Accurate balances. Spills, evaporation, damaged containers and repacking losses all create variances that need explaining.
  • Controlled access. Not every staff member should be able to adjust stock or approve variances, and you want a record of who did.
  • Trade accounts. Industrial customers often buy on account, request formal quotations and pay over time.

How VasKem supports the core inventory records

VasKem is a cloud inventory and business records system. For chemical distributors, it covers the stock, location, movement and sales side of the operation:

Data is tenant-isolated, passwords are stored as salted hashes and traffic uses HTTPS; see the security page for detail. Hosting, backups and retention are discussed before onboarding. Ask VasKem, the read-only AI assistant, can answer questions such as which products are expiring in a particular store, with links to the source records. Answers can be wrong, so check the records before acting.

What VasKem does not do for chemical businesses

Be clear about these limits. VasKem does not provide:

  • Safety data sheet management. No SDS authoring, version control or automatic distribution to customers.
  • Hazardous materials compliance. No hazard classification, storage compatibility checks, dangerous goods documentation or hazard labelling.
  • Lot, batch or serial tracking. No batch traceability, certificates of analysis linked to batches, or recall tracing.
  • Formulation, blending or manufacturing. No recipes, bills of materials or production orders.
  • Tank and bulk monitoring. No tank gauging, sensor connections or weighbridge links.
  • Integrations by default. Accounting, courier and other connections can be scoped depending on available APIs, but are not automatic.

If a missing capability is essential, VasKem's custom software services can scope it as a separate project with its own quote, or you can run VasKem alongside a specialist compliance tool.

Demo checklist for chemical distributors

  1. List your compliance needs first. Write down every regulatory requirement you must meet and mark which system will cover each one. Do not assume VasKem covers any of them.
  2. Model your stores. Set up your flammables store, corrosives area or bulk yard as warehouses or bins, and receive stock into each.
  3. Import pack sizes. Bring a CSV with one product in bag, drum and IBC sizes and check the records are clear.
  4. Check the expiring-stock view. Load a few dated items and confirm the view shows what you need to act on.
  5. Record a spill. Post a stock adjustment and confirm it appears in the audit log with the user and time.
  6. Restrict access. Create a role that cannot adjust stock and confirm the menus it sees.
  7. Quote and invoice. Quote an industrial customer, convert to an invoice and record a partial payment.
  8. Count and approve. Run a stock take on one store and walk through variance approval.

Frequently asked questions

Does VasKem manage safety data sheets?

No. VasKem has no safety data sheet (SDS) management. It does not issue, version or send SDSs to customers. You can keep company documents in VasKem's per-company document storage, but your SDS process must be run and validated separately.

Is VasKem a hazardous materials compliance system?

No. VasKem does not classify hazardous substances, check storage compatibility, produce dangerous goods transport documents or print hazard labels. It records stock, locations, movements and sales. Validate every regulatory requirement with your SHEQ advisor or compliance consultant.

Can VasKem trace a batch for a quality complaint or recall?

No. VasKem does not offer lot, batch or serial tracking, so it cannot link a specific batch to the customers who received it. You can see movement history, dispatch orders and invoices per product, but that is not batch traceability.

Can I keep incompatible products in separate storage areas?

You can set up separate warehouses and bin locations, for example a flammables store or a corrosives area, and record stock against them. VasKem does not enforce segregation rules or warn when products are stored together, so your storage rules remain a manual control.

Can VasKem record products sold in drums, IBCs and bulk?

Each product has a unit of measure, so a 25-litre drum and a 1,000-litre IBC can be separate SKUs. VasKem does not claim automatic conversion between pack sizes or decanting workflows. Test your own packaging and repacking process during the demo.
